Core Standard
We preserve available context without overstating what can be proven.
Personified Collectibles uses listing language, photographs, provenance notes, documentation summaries, and COA records to help buyers understand the available information connected to an item. Buyers should still review the live listing, condition details, included paperwork, and item-specific purchase terms before buying. The live listing remains the source of truth for price, availability, condition, shipping, returns, included materials, and transaction terms.
What This Policy Covers
How Personified Collectibles Handles Documentation and Verification
This page explains how Personified Collectibles approaches item documentation, disclosure language, COA record verification, physical certificates, record support, transfers, and third-party opinions. It is not a substitute for the live item listing, the Terms of Sale, or the full COA Terms and Documentation Standards page.

Trust Pillars
Documentation, Disclosure, and Verification
Collector trust is built through clear item records, careful language, and a practical way to check eligible certificate numbers against available records.
Documentation
Available item details, photographs, markings, labels, inscriptions, provenance notes, certificates, listing history, condition information, and other supporting materials may be reviewed when preparing an item record.
Disclosure
When documentation is limited, cautious language helps distinguish confirmed information from opinion, attribution, comparison, or descriptive context.
Verification
COA verification confirms whether a submitted certificate number and related details match an internal Personified Collectibles record.
Review Process
How We Review Items
Collectibles often come with different levels of documentation. Some pieces have more complete provenance, prior sale records, original paperwork, third-party documentation, or other supporting materials. Others have partial context, visual consistency, source history, or comparison value but limited formal paperwork.
Review Available Evidence
Source details, photographs, markings, labels, inscriptions, included paperwork, condition, prior sale history, and relevant reference material may be reviewed.
Classify Carefully
Item language is chosen based on what can be reasonably supported, not simply what would make a listing sound stronger.
Disclose Limits
If documentation is partial, uncertain, or opinion-based, the listing and documentation should reflect that clearly.
Maintain the Record
Eligible COAs are connected to an internal record so future verification requests can be reviewed against the certificate number and available certificate details.

Documentation Language
Terms We May Use
These terms help buyers understand the strength or limits of available information. Always review the individual listing for item-specific details.
Screen-used
Used only when available documentation or item-specific evidence supports that the item appeared on screen in a production.
Production-made
Used when available information supports that an item was made for a production, even if exact on-screen use is not confirmed.
Production-linked
Used when available documentation, source history, auction records, studio-related materials, estate information, or chain-of-custody details support a connection to a production.
Attributed to
Means available information suggests a maker, signer, source, use, origin, or connection, but the attribution should not be treated as fully confirmed unless the listing states otherwise and provides supporting details.
Believed to be
Reflects a good-faith, qualified opinion based on available evidence, comparison, or research when definitive documentation is limited.
Production-style
Means the item is consistent with a known production style, design, or type, but direct production provenance has not been confirmed.
COA Verification
What Verification Confirms
Verification confirms whether the submitted certificate number and related details match an internal Personified Collectibles record.
Verification does not re-authenticate the physical item, confirm current condition, confirm current ownership, guarantee future value or resale value, or ensure acceptance by a third-party service, buyer, marketplace, appraiser, auction house, or institution.
Most routine verification requests are reviewed manually. Response times may vary, but the usual review window is 2 to 4 business days.
Physical COAs, Seals, and Record Support
Paperwork Supports the Record, but It Does Not Replace Item Review
Eligible items may include a printed certificate or documentation summary. Included paperwork varies by item and should be confirmed in the live listing.
The current live listing remains the source of truth for included paperwork, condition, price, availability, shipping, returns, and purchase terms.
Select items may include or qualify for a seal, QR code, or other security feature when available and appropriate. These features support record matching but do not replace careful item review.
Requests for replacement paperwork are reviewed case by case. Proof of purchase, certificate details, and item information may be required.
Sample certificate preview. The live listing and item-specific documentation remain the source for included paperwork and purchase details.
Limits and Independence
Transfers, Resale, Third-Party Opinions, and Independent Status
COAs and documentation summaries can support a record, but they do not guarantee future treatment by the market, platforms, or third-party reviewers.
Transfers and Resale
A COA may accompany an item if it is later resold, but the internal buyer record is not automatically transferred. A later owner may request verification by certificate number, though verification may be limited to the existing certificate record.
Third-Party Opinions
Personified Collectibles cannot guarantee that a third-party reviewer, authentication company, buyer, marketplace, museum, appraiser, or auction house will reach the same opinion or accept a Personified Collectibles COA as sufficient documentation.
Independent Business
Personified Collectibles LLC is an independent business. Unless specifically stated in an individual listing, we are not affiliated with film studios, production companies, theme parks, celebrities, estates, trademark holders, or brand owners.
No Investment Guarantee
COAs and documentation summaries reflect the information recorded at the time they are issued. They are not guarantees of future value, investment performance, resale acceptance, or third-party approval.
