DATA STORAGE & RETENTION – How Data Is Stored

All COA and order-related archival data is stored across three secure, encrypted platforms locations:

  • A private Google Sheet (access restricted)
  • A secure offline backup
  • An encrypted external drive stored in a physical safe

Manual logs of COA serial lookups are maintained for added traceability. Data is retained indefinitely for provenance, archival, and legal verification purposes. We implement appropriate technical and organizational measures to safeguard your personal information, including encryption, access controls, and regular security audits. In the event of a data breach, we have a response plan to promptly address and mitigate any potential risks. User-submitted verification requests are archived and associated with internal COA logs for security and continuity.

What We Do NOT Collect

  • No credit card or payment information — All transactions are processed securely through eBay or PayPal.
  • No user passwords or login credentials
  • No third-party ad tracking or retargeting — We do not currently use marketing pixels or cookies.

Email & Newsletter

If you opt into our mailing list, we collect only your email address to send updates via Mailchimp. Emails are sent sparingly and only with relevant content (e.g., new arrivals, auction alerts, blog updates). You may unsubscribe anytime.

We retain data related to certificates and provenance records indefinitely due to the nature of collectible items, where long-term verification is essential. This cannot be deleted or anonymized without invalidating the COA. This practice aligns with our commitment to authenticity and complies with data protection principles by limiting retention to what is necessary for this purpose.

You have the right to access, correct, or delete your personal information, as well as to object to or restrict certain processing activities. Note that this will invalidate the COA and render the document void. Newsletter subscribers may request permanent deletion of their contact information by emailing us directly.
